FAQs on SEPARATION FROM EMPLOYMENT   


1. What will I do next after I submit my resignation letter?   


Once your immediate superior and department head acknowledged and accepted your resignation letter, it should be forwarded to your respective HR Business Partner. Once received by HR, you will be instructed to accomplish Exit Interview and Clearance Form (Please send a screenshot for the proof that you have answered both forms), you will be scheduled for an Exit Interview, and you will have to ensure proper turnover.   


2. What is the turnover period prior to the effectivity of my resignation?                             


30 days for employees hired 2018 and earlier and 60 days for employees hired 2019 and later.   


3. How do I accomplish the clearance form?   


Please make sure to fill out the clearance form and exit interview form sent in the acceptance email. Kindly make sure that you have filled out the actual clearance attached to the off-boarding email. After that, the HR department will route it to the respective clearing departments.   


4. When and what are the items to be turned over and who shall sign the clearance form?   


On or before your last day of employment, you will be required to turn-over the following to the corresponding person-in-charge: 


5. When will be my last payroll?   


Your last pay will depend on the effective date of your resignation. The 15th pay out of the current month will be put on hold for resignation effective 1st to 15th of the current month. The 30th pay out of the current month will be put on hold for resignation effective 16th to 30th of the current month   Please expect another email from ESS for the computation and the quitclaim. We have to agree with the computation and you have to submit a notarized quitclaim with your bank account details to proceed with the final pay crediting. The crediting process will start on the next business day. Please give the crediting team 3-7 working days to credit it to your bank account.   


6. I signed a training bond and will not be able to complete the period as agreed, what are the implications?  


Refer to the provisions of your training agreement. If still unclear, feel free to contact our Training Officers for any questions or clarifications. 8. How long do I expect my final pay check?   Routing of clearance, computation of final pay and request for the check will take 30 working days, unless otherwise there will be delays in the routing of the clearance and in the processing of your final paycheck. An HR representative will reach out to you for the schedule of release and issuance of the following:   


● Final settlement/pay  

● Notarized Quitclaim   

● Certificate of Employment (COE) and   

● BIR Form 2316  


Please ensure to indicate your updated contact number in the clearance.   


9. When do I get my Certification of Employment and BIR 2316?


Certification of Employment and BIR Form 2316 will be given on the day of the release of your final pay.   


10. Who will be my contact person for processing my final pay?
